What’s New in Export Tracking?

 

New Features and Enhancements – version 2.1

 

Enhancement

Button to Download Export Data.  You can specify a range of dates and two types of extract files can be created for download.  One format is a flat file format.  A second one is an HTML format that can be imported into a spreadsheet.

Query by Carrier. You can enter a carrier and the system will return those shipments that have been moved by the carrier.

Query by Master Loader.  Entering a master loader will return those shipments associated with the loader.

Email button.  This feature gives you the ability to send an email to your account’s representative to request for information.

Increased field size.  Maximum size for fields in the Definition screen has been increased to 3.  Therefore a maximun number of 999 can be entered.  Fields like shipment notes can now be displayed in their entirety. 

New Export Select Options page.  The Select Options screen in the Export module has been modified to have a better look and organization of the data fields that are to be used to create a query.

State and City in dropdowns.  State and city are now displayed in the Export and Consignee dropdown boxes in the Select Options screen.

Account Details.  Select Options screen shows account details for Export and/or Consignee.

Redefined icons.  Icons ‘Query’ and ‘Cargo Tracking’, along with the ‘Shipment List’ icon, have now a standard function between the Import and Export modules.

Download Instructions.  Instructions on how to download an HTML/Excel format file are now posted on the Tracking pages.

Extract Date and Extract Time.  These two new fields are now available in the list of options to display in the Shipment List screen.  You will be able to know the date and time your shipment files were last updated in the Tracking system.

Exporter and Consignee dropdown boxes now sorted.  Options given in the Exporter and Consignee dropdown boxes in the Select Options screen are now alphabetically sorted for better presentation of the data.

From/To date fields in Select Options page. When entering (+/-) number of days in the From/To date fields in the Export Select Options page, a year of 1900 was returned.  It now returns the correct year.

Bill to Customer Address not complete.  State and zip code were not showing up on the Bill to Customer address for every Invoice in Export module.  These two pieces of information now show up on the address.

Port of Unloading dropdown box.  This dropdown box was not showing all ports of unloading associated with a particular exporter/importer.  This dropdown box can be found in the Query screen (Select Options screen) of the Export Tracking System.

 

 

Button to Download Export Data

 

One of the most important enhancements in the Tracking System is download capability for the Export module.  You can specify a query criterion and select one of two types of file formats for download.  One format is a flat file format.  The second option is in HTML format that can later be imported into MS Excel and be saved as a spreadsheet. 

 

To download information simply:

 

1.      Enter your query criteria in the Selection Options screen

2.      Select HTML file or Flat file from the dropdown box provided in the same Select Options screen.

3.      Click on Download button

4.      You will get a Download Info screen.  In here you will see the query criteria entered in the Select Options screen and file statistics

 

The “HTML File” option allows you to create an HTML page in your Web browser than can be saved as an HTML file.  This file can later be imported into MS Excel and you can manipulate the data as desired.  To do this:

 

 

 

 

 

 

 

 

 

 

 

 

 

 


5. Click on File à Save As… option

6. Enter a File Name and select Web Page in the Save as Type dropdown box.  Click Save button

 

 

 

 

 

 

 

 

 

 

 

 

 

7. The last step is to start MS Excel and open the file that was saved in the previous step.

Download Instructions. 

(Only for customers who are using the Download option)

Instructions on how to download an HTML/Excel format file are now posted on the Tracking pages.  Before the download starts, instructions are available for you to follow and succesfully download an HTML/Excel format file to your own PC.  The instructions read as follows:

 

  1. Click on the link above. A new browser window will open.
  2. Select File --> Save as... option.
  3. From the Save Web Page dialog box, select a file name.  You can give your file an .html extension.
  4. Start your Spreadsheet application, i.e. MS Excel, and open the file you saved in the previous step. You can save this file with an extension .xls (Excel spreadsheet).

 

After clicking on the Click here link, a new browser window will open so that you can still view the instructions in your original window and the results in the newly opened browser window.

Query by Carrier, and

Master Loader code.

 

Two very important new features in this release that add functionality to the Export module of the Tracking System are Query by Carrier, and Query by Master Loader code.

By Carrier Code

  1. To query by this field, use the Carrier/Airline dropdown box.  This box contains a list of all those carriers you have used.
  2. Click on the Query button.

 

By Master Loader

To obtain a list of shipment files by Master Loader, enter a code in the Master Loader box (see picture) and click on the Query button.  This will give you a list of shipment files that are connected to a Master with the code entered.

 

 

The Master Loader code and Master Loader (description) are two new fields available in the Export Tracking System.  You can view these two fields in the Shipment List page and in the Shipment Details page by clicking on the Definition link and selecting it from one of the dropdown boxes available.

Email icon in the Export Module

 

This feature gives you the ability to send an email to your account’s representative.  An email icon is displayed in the Shipment Details screen of the Tracking System and when clicked, a new email message window appears with header information.  This header information comes from the header table at the top of the Shipment Details screen.  This way if you have any questions about a particular shipment, you can send an email requesting information and default data is included in the email.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 


Note: The header table is a copy of the data shown in the Shipment List page.  Since you can change the layout of the Shipment List page, you can change the information that appears in the header table and therefore the information that defaults in to the email message’s body area.
